Graduate Registration Policy

I. Introduction

A student may register only after receipt of official notification of admission from the dean of the school to which application was made.

The registration period is announced each year in the Academic Calendar. No student will be permitted to register later than the last day of the registration period. A student will not be permitted to register or add courses after the date published in the Academic Calendar available online at:

For the comprehensive examination, one should register during the regular registration period. Approval for in absentia status or a leave of absence must be sought from the department chair and the school dean prior to the semester for which it is required.

A student who has been admitted for graduate study is expected to consult with the dean, department chair or with an assigned adviser in planning the program of study for the semester. Students who have been admitted should use their previously issued login ID and password to register via the Web.

IV. Continuing Students

Prior to the end of each semester, the university provides a registration period for all currently enrolled students. Each continuing student must register for the following semester at the designated times and according to the procedures set by the student's particular school and the registrar.

V. Consortium Registration

Application forms and instructions for registration in a course offered by a member institution of the Consortium of Universities of the Washington Metropolitan Area may be obtained in the Office of the Registrar. A student may take a consortium course only for credit and must have the approval of the adviser, chair, dean and consortium coordinator. Regulations and registration procedures are published in detail each semester in the class schedule.

VI. Auditing

A student who has been admitted to the university and who wishes to attend a course without satisfying its formal requirements must secure the consent of the teacher, register as an auditor, and pay the regular tuition and fees. Students must notify the registrar in writing of their intent to audit a class. 

Credit will not be granted for auditing a course. Audit or "not for academic credit" classes cannot be counted for enrollment certification, for fulfillment of degree requirements, for financial aid purposes, or for loan deferment purposes, regardless of billing or registration status.

Auditors are required to attend a minimum of one-half of the class sessions. If this requirement is not met, the registrar may, solely upon notice of the instructor of insufficient attendance, delete the course from the student's record.

VII. Postdoctoral Auditing Privilege

The privilege of enrollment as an auditor without charge for tuition may be extended under certain circumstances, with the approval of the dean, to persons who hold doctorates earned through graduate study (not including doctorates which are first professional degrees). A fee is payable at the beginning of each semester or summer session. See Fees and Expenses.

An applicant for this postdoctoral privilege must present to the dean of the school in which the auditing is desired an official transcript certifying the award of the doctorate. The dean will issue a card authorizing the auditing privilege, which will be countersigned by the registrar upon the payment of the fee. The card must be shown to the instructor for admission to the course. No academic credit will be granted and no transcripts of record will be issued for postdoctoral auditors. The privilege does not extend to courses offered by other member institutions of the Consortium of Universities of the Washington Metropolitan Area.

VIII. Course Number

Courses numbered from 100 to 499 carry undergraduate credit only. Courses numbered from 500 to 599 are open to graduate and qualified undergraduate students. Courses numbered from 600 to 990 are open to graduate students only. Thesis guidance is designated 995 and 996 for the master's degree; dissertation guidance is designated 997 and 998 for the doctoral degree.

IX. Registration In Absentia

Registration in absentia is a form of continuous enrollment open to students who are required to be away from the university but who are not eligible for a leave of absence. See above under Change of Enrollment. A student who wishes to register in absentia should direct a written request for permission to do so to the chair of the department and the dean of the school. Such a request must be made in advance of the semester for which permission is requested and must include the specific reason for the petition. If the request is granted, the student will be registered and pay a fee equivalent to tuition for one semester hour per semester. This entitles the student to library privileges and to minimal contact with advising faculty.

Students registering in absentia will be required to observe the normal deadlines for course registration. In absentia status cannot be granted for the semester in which the dissertation proposal is submitted for approval or the semester during which the dissertation is completed and defended. 

X. Registration for Dissertation Defense

Students whose dissertation is approved by the committee within the first two weeks of the semester may register for Disseration Defense. The fee is for one credit although no credit is given, and full-time student status is not conferred for the semester in regard to student loans and financial aid.
